Position Summary

The Administrative Support Specialist provides administrative and coordination support to a federal program office responsible for small business engagement and acquisition program activities. The position supports daily office operations by managing administrative workflows, maintaining records and tracking systems, and coordinating communications and outreach activities.

This role helps ensure that program activities, documentation, and communications are organized, accurate, and completed on schedule.

Location: Remote with some on-site support in Washington, DC.

 

Key Responsibilities

  • Provide administrative support for daily program operations and office activities.
  • Maintain program records, tracking logs, and documentation used to support operational reporting.
  • Monitor incoming requests and assist with routing tasks to appropriate personnel.
  • Maintain stakeholder contact records and interaction tracking systems.
  • Assist with preparation of program reports, correspondence, and presentation materials.
  • Support coordination of meetings, events, and outreach activities.
  • Track program activities and maintain documentation supporting reporting requirements.
  • Prepare and distribute internal communications and notifications.
  • Provide general administrative assistance to program staff as needed.

Required Qualifications

  • Minimum five years of administrative or program support experience.
  • Bachelor’s degree in a relevant field or equivalent professional experience.
  • Strong organizational and communication skills.
  • Proficiency with Microsoft Office applications.
  • Experience maintaining records, tracking systems, or administrative documentation.

Preferred Qualifications

  • Experience supporting federal government offices or programs.
  • Experience coordinating events, meetings, or outreach activities.
  • Familiarity with office workflow systems, SharePoint, or CRM tools.
